It is a link generated when a user shares a file or folder in AnyShare.

With SharedLink, a user can both share with other users and anyone.

  • Share with users: share among users in the same organization.
  • Share with anyone: share between a user and anyone inside or outside the organization.

Work with SharedLink

  • Quick Sharing

    If users need to share a file with colleagues who have permissions, they can just copy and send the SharedLink to them, so the people with the link can easily search and locate it.

  • Share and Collaborate across Departments

    Many tasks must be done jointly. If users need to share and collaborate across departments,  can use the function called Contacts served by AnyShare to create contact groups where they can add certain colleagues and set permission. AnyShare offers 7 kinds of permissions including Display/Read/Modify/Create/Delete/No Access/Owner. Users need to customize permission settings for each group in accordance with workflow and confidentiality rules and regulations. For example, you want to share a product document with members of the product group and sales group. To update products in time, you can set the permission as “Display/Read/Modify/Create” for the product group. The permission for the sales group can be set as “Display/Read” so that the document can be prevented from being tempered.

  • Share with Anyone

    If users want to share content with not only users but also outsiders including but not limited to vendors, partners, and customers, they should use the function called “share with anyone”.
    This function helps prevent data loss and strengthen data security. Users need to set access rights, validity period, access password, and max visits first and then share the content with anyone, especially outsiders. People who are shared with content in such a way must enter a password within the validity period in order to view the shared content. 

If users want to share content with people from different sectors or industries, they can generate multiple links, each with unique settings in order to differentiate them. 

 

Use SharedLink

Below are the instructions.

  • Quick Sharing: Users need to select files or folders first and then press Copy File Link within a second so that they can share the content with users. Only visitors of the shared content can enjoy this function.
  •  Share with users: Users need to select files or folders first and then press Share in the toolbar above. On this page, users need to add users from departments or groups and set access rights and validity periods. There are 7 kinds of granular permission including Display/Read/Modify/Create/Delete/No Access/Owner. Users can directly select one permission or click on Custom Settings to set permission. After clicking Save, AnyShare will notify designated users, symbolizing a successful sharing with users.
    There are also other ways to share with users by clicking on Copy SharedLink, Get QRcode, or Send Email on the toolbar above. Each time users open ShardLink will generate a new link for users to share with users while the old one will be invalid.
  •  Share with anyone: Users need to select files or folders and press Share in the toolbar above first. And then, on this page, users need to press +Share with anyone to set a link title, access rights, a validity period, a password, and mas visits. Press Generate and the link of sharing with anyone will be generated. Users can send the link in various ways including pressing Copy SharedLink, Get QRcode, or Send Email. After that, sharing with anyone succeeds. A document can be mapped into various links for sharing with anyone.

Restrictions: The email notification function can only be opened by administrators through configuring the SMTP server.

Below are the instructions for accessing the link of sharing content with users or anyone.

     1. Users who are shared with content by other users, 

  • need to directly click on the link and access data via Web Client.
  • If users copy this SharedLink, AnyShare will automatically recognize it after they open the client. They can quickly locate the file by clicking on [View Now] in the pop-up box.
    (Note: The Web Client cannot recognize copied content.)

     2. Anyone who is shared by users

  • can directly click on a link without a password. In terms of a link with a password, it is a must to enter it and view the file in a web browser.
  • If users set read permission, receivers can select the file and press Download and Save As at the top of the action bar before downloading it or save it to a directory.
